How to make a billing statement
Add your business and the client. Your name, contact details and address, then the client's name, address and any account number you use.
Pick the period. Most businesses send a statement monthly, covering the month just ended, with the statement dated on the last day.
Enter the opening balance. Whatever the client still owed at the start of the period. Use 0 for a new client.
List every invoice, payment and credit. In date order, with invoice numbers and due dates. The running balance updates after each line.
Check the amount due and ageing. The total at the bottom is what the client owes now. The ageing boxes show how much of it is overdue and by how long.
Say how to pay and send it. Add your payment details, download the PDF and email it to the client's accounts contact.

Chasing an overdue balance
If the statement shows amounts more than a few days late, send a short, polite reminder with the statement attached. The payment reminder generator writes one for each stage, from a friendly nudge to a final notice. Clear payment terms on every invoice make the due dates easy to point to.
Frequently asked questions
What is a billing statement?
A billing statement, or statement of account, is a summary of every invoice, payment and credit for one client over a period, usually a month. It shows the opening balance, each transaction, a running balance and the total the client owes now.
What is the difference between an invoice and a statement?
An invoice asks for payment for one sale or job. A statement lists all the invoices and payments for a client over a period and shows the overall balance. You still send invoices; the statement is the regular summary that helps both sides spot anything unpaid.
How often should I send billing statements?
Monthly is the most common, usually dated the last day of the month. Send them to clients who receive several invoices a month or who have unpaid invoices, so nothing slips through.
What does ageing mean on a statement?
Ageing groups the unpaid amount by how late it is: current (not yet due), 1-30 days, 31-60 days, 61-90 days and over 90 days overdue. It shows at a glance which invoices need chasing.
Can I edit the statement after downloading it?
Yes. Download the Word version to edit the text, or the Excel version, where the running balance and totals are formulas that update when you change an amount. Your statement is also saved in this browser, so you can come back and change it.
