What's in the Excel file
- Line amounts are formulas: quantity × rate, rounded to the cent.
- Subtotal, tax and total are formulas too. Change the tax rate cell and the tax updates.
- Invoice number, invoice date and due date at the top, ready to fill in.
- Your business and your customer's details, plus payment instructions and terms underneath.
- Money cells are formatted as currency, so totals always show two decimals.
How to use it in Microsoft Excel

Download and open it
Open the .xlsx in Excel. If Excel shows a yellow Protected View bar, click Enable Editing.

Fill in your details
Add your business name and contact details, your customer's details, an invoice number and the dates.

Add your line items
Type a description, quantity and rate on each line. The amount, subtotal and total fill in by themselves.

Set the tax rate
Type your sales tax rate in the tax rate cell (for example 8.25%). Leave it at 0% if you don't charge tax.

Save it as a PDF and send
Choose File > Save As > PDF (or File > Export on a Mac) and email the PDF. Keep the .xlsx for your records.

Is it really free?

Do the formulas work in older versions of Excel?
Yes. The file only uses basic formulas like SUM and ROUND, which work in every version of Excel from the last 15 years, Excel for Mac and Excel online.
Does it open in Google Sheets or Apple Numbers?
Yes. Upload the .xlsx to Google Drive and open it with Google Sheets, or open it in Numbers. The totals keep working. There is also a ready-made Google Sheets version.
How do I add more lines?
Insert a row inside the item table (right-click a row number > Insert) and copy the formula from the amount cell above. Or use the online builder, which adds lines for you.
How do I number my invoices?
Use a simple sequence like INV-001, INV-002 and never reuse a number. The online builder numbers invoices for you and remembers the last one.
