What's in the Excel file

  • Line amounts are formulas: quantity × price, rounded to the cent.
  • Subtotal, tax and the total credit are formulas too.
  • Credit note number, credit note date and the original invoice date at the top.
  • Lines for the invoice being credited, the reason and the refund method.
  • Your business and your customer's details, plus space for notes and terms.

How to use it in Microsoft Excel

  1. 1

    Download and open it

    Open the .xlsx in Excel. If Excel shows a yellow Protected View bar, click Enable Editing.

  2. 2

    Link the original invoice

    Add the customer, the invoice number and its date, and the reason for the credit.

  3. 3

    List what is credited

    Type each returned item, overcharge or cancelled service with its quantity and price. The totals fill in by themselves.

  4. 4

    Say how it is settled

    Write whether you are refunding the money or taking it off the next invoice.

  5. 5

    Save it as a PDF and send

    Choose File > Save As > PDF and email it to the customer. Keep the .xlsx with the original invoice.

Is it really free?

What's the difference between a credit note and an invoice?

An invoice asks the customer to pay. A credit note reduces or cancels what they owe on an invoice you already sent, for returns, overcharges or cancelled work. It quotes the original invoice number.

Is a credit memo the same thing?

Yes. Credit memo is the usual US name; credit note is used in the UK, Canada, Australia and elsewhere. This template works for both: change the title if you prefer Credit memo.

Does it open in Google Sheets?

Yes. Upload the .xlsx to Google Drive and open it with Google Sheets, or open it in Apple Numbers. The totals keep working.
