Free contractor invoice template
An invoice for general contractors, remodelers and builders. Labor and materials sit in separate tables, change orders get their own lines, and the deposit you already took comes off the balance due.
Uses the Trade Pro design. The builder starts with typical contractor lines you can edit.
Example with sample details. Yours will show your business and customer.
What should a contractor invoice include?
A contractor invoice is the bill a contractor sends a customer for construction, remodeling or repair work, listing the labor, materials, change orders, any deposit already paid and the balance due. A contractor invoice should include business name, contact details and contractor license number; customer name and job address; estimate or contract number and the completion date; labor by task, and materials with quantities; change orders as separate lines; sales tax, deposit paid and the balance due; and payment terms, payment methods and warranty. For jobs over a few weeks, invoice at agreed stages (start, rough-in, completion) instead of waiting for the end. Number every invoice in sequence and show the due date clearly, so the customer knows exactly what to pay and when. Send it as soon as the work is finished, keep a copy for your records, and follow up politely a few days before it is due.
Also called: construction invoice, general contractor invoice, builder invoice, remodeling invoice, contractor bill, subcontractor invoice. It is the same document, and this template works for all of them.

How to write a contractor invoice
- 1
Add your license and the job address
Your business name, contractor license number and the address of the job, so the customer and any lender can match it to the work.
- 2
Reference the estimate
Put the estimate or contract number in the job reference. It ties the bill to the price the customer agreed.
- 3
Bill labor and materials separately
Labor by task with hours and rate, materials with quantities and unit prices. Customers and inspectors can see where the money went.
- 4
List change orders on their own lines
Any work added after the estimate gets its own line with the change order number, so it is clear it was approved extra work.
- 5
Take off the deposit and send it
Enter the deposit already paid; the invoice shows the balance due. Add how to pay and your warranty, then email the PDF.

Pricing tips for contractors
Work out your prices with the markup calculator and hourly rate calculator.
Bill progress payments on big jobs
For jobs over a few weeks, invoice at agreed stages (start, rough-in, completion) instead of waiting for the end.
Get change orders signed first
Write up extra work and get it approved before you do it. Then it goes on the invoice without an argument.
Mark up materials
You source, haul and warranty them. A materials markup pays for that time; the markup calculator shows the price to charge.
Questions contractors ask
What should a contractor invoice include?
Your business and license number, the customer and job address, the estimate number, labor and materials with quantities and prices, change orders, sales tax, any deposit paid, the balance due, payment terms and your warranty.
How do I show a deposit on a contractor invoice?
Enter it in the Deposit paid field. The invoice lists the full job, takes the deposit off and shows the balance due.
How do I bill a change order?
Add it as its own line, starting with the change order number and a short description, priced like the rest of the job. Keep the signed change order with your copy.
Is there a contractor invoice example?
Yes. The sample on this page is a kitchen remodel with labor, materials, a change order and a deposit. It opens in the builder with one click.
Is this for independent contractors too?
Yes. If you bill a client as a self-employed independent contractor for hours rather than labor and materials, the hourly timesheet invoice may suit you better. Both are free.
Can I turn my estimate into a contractor invoice?
Yes. Open your estimate in the builder and click Convert to invoice. The lines, customer and job details carry over.
Is this template really free?
Yes. Fill it in online and download PDF, Word or Excel as often as you like. There is no sign-up, no watermark and nothing to install. Your details stay in your own browser.
