How to write a tutoring invoice

  1. 1

    Set the billing period

Most tutors invoice monthly. Put the start and end dates at the top.

  2. 2

    List every session

Add each lesson with its date, start time, subject and length in hours.

  3. 3

    Use one hourly rate

The hours multiply by your rate and the total adds up automatically.

  4. 4

    Note your cancellation policy

Say how much notice you need to cancel without charge.

  5. 5

    Send it to whoever pays

Address it to the parent or guardian paying the bill, with the student's name in the subject.

What to include on a tutoring invoice

  • Your name, subjects and contact details
  • Parent or student name
  • Billing period
  • Each session with date, start time, subject and hours
  • Your hourly rate and total
  • Cancellation policy and payment methods

Pricing tips for tutors

Charge more for test prep

SAT, ACT and exam prep is specialized and in demand. A higher rate than regular homework help is normal.

Offer prepaid blocks

A block of 10 sessions paid upfront secures the student for the term and smooths your income.

Bill monthly

One invoice per month is easier for families than paying after every session.

Questions tutors ask

Should I invoice after each session or monthly?

Monthly invoicing with every session listed is simplest for most tutors and families. Weekly works for new clients until trust is built.

Can I bill online sessions the same way?

Yes. Add online lessons like any other session. You can note 'online' in the description.

What if sessions are different lengths?

Enter the actual hours for each session, such as 1.5. The template multiplies by your rate for each line.

Is this template really free?

Yes. Fill it in online and download PDF, Word or Excel as often as you like. There is no sign-up, no watermark and nothing to install. Your details stay in your own browser.
