What should a sales receipt include?

A sales receipt is the record a seller gives a buyer at the time of sale, listing the items bought, their prices, any tax, shipping and discount, the total paid and the payment method. A sales receipt should include your shop name, address and website; order or receipt number and date; each item with SKU, quantity and price; shipping, discount and sales tax; total paid and payment method; and your returns policy. Customers keep the receipt for returns. Putting your policy on it avoids arguments later. A SKU or size line on each item makes exchanges quick and keeps your stock records accurate. Number every receipt in sequence and never leave the amount or date blank, so the record cannot be changed later. Give it as soon as the money arrives, and keep a copy with your records for taxes and any questions later.

Also called: store receipt, retail receipt, purchase receipt, order receipt, receipt of sale. It is the same document, and this template works for all of them.

How to write a sales receipt

    Add your shop details

    Your shop name, address, phone and website at the top, so customers can find you again.

    Add the order number

    An order or receipt number makes returns and questions easy to look up.

  3. 3

    List each item

    Product name, a SKU, size or colour line, the quantity and the price.

  4. 4

    Add shipping, discount and tax

    Shipping on its own line, any discount taken off, then sales tax on the total.

    Say how they paid

    Card ending, cash, PayPal or another method, then your returns policy at the bottom.

Printable sales receipt: PDF, Word or Excel

  • PDF: best for emailing or printing. It looks the same on every phone and computer, and the customer cannot change it.
  • Word (.docx): edit the wording later in Microsoft Word or Google Docs, or keep it as your own reusable sales receipt form.
  • Excel (.xlsx): line amounts, tax and the total are live formulas, so changing a quantity updates the receipt for you.

Questions shops and online sellers ask

What is the difference between a sales receipt and an invoice?

A sales receipt is given when the customer has already paid, usually at the time of sale. An invoice is sent to ask for payment later.

Can I use this for online orders?

Yes. Add the order number and the ship-to address, put shipping on its own line and email the PDF to the customer.

Does the receipt work out sales tax?

Yes. Enter your tax rate and it is added to the items and shipping after any discount.

Can I print it on a receipt printer?

The PDF is a full-page receipt for printing on letter or A4 paper or for emailing. It is not sized for narrow thermal receipt rolls.

Is this template really free?
