What should a rent receipt include?

A rent receipt is a record a landlord or property manager gives a tenant confirming that rent for a stated period and property was paid, how much, on what date and by what method. A rent receipt should include landlord or property manager name and contact details; tenant name; rental property address and unit; the rent period the payment covers; rent and any other charges, with the total paid; payment date, method and who received it; and any rent still owed, as the balance remaining. Several states, including New York and California, require landlords to give a receipt when rent is paid in cash. Check your state's rules. Number every receipt in sequence and never leave the amount or date blank, so the record cannot be changed later. Give it as soon as the money arrives, and keep a copy with your records for taxes and any questions later.

Also called: rental receipt, rent payment receipt, house rent receipt, landlord receipt, apartment rent receipt. It is the same document, and this template works for all of them.

How to write a rent receipt

  1. 1

    Name the landlord and tenant

Your name or company as landlord, and the tenant's name exactly as it is on the lease.

  2. 2

    Add the rental address

The property and unit number the rent is for.

  3. 3

    Set the rent period

Fill in Period from and Period to, such as October 1 to October 31. The receipt prints the period under the payment details.

  4. 4

List rent and any other charges

Rent on one line, and parking, pet rent or utilities on their own lines.

  5. 5

Record the date, method and who received it

When the rent arrived, how it was paid (check, bank transfer, Zelle or cash) and who received it. Sign the printed copy if your state requires it.

Printable rent receipt: PDF, Word or Excel

  • PDF: best for emailing or printing. It looks the same on every phone and computer, and the customer cannot change it.
  • Word (.docx): edit the wording later in Microsoft Word or Google Docs, or keep it as your own reusable rent receipt form.
  • Excel (.xlsx): line amounts, tax and the total are live formulas, so changing a quantity updates the receipt for you.

Tips for landlords

Give a receipt for cash rent

Several states, including New York and California, require landlords to give a receipt when rent is paid in cash. Check your state's rules.

One receipt per month

A receipt for each month's rent keeps a tidy record for both of you, and is easy to find if there is ever a dispute.

Keep late fees separate

If a late fee applies, put it on its own line so the tenant sees exactly what they paid for.

Questions landlords ask

What should a rent receipt include?

The landlord's and tenant's names, the rental address, the period the rent covers, the amount paid, the payment date and method, and a receipt number. Some states also ask for the landlord's signature.

Do landlords have to give rent receipts?

In some states, yes, especially for cash payments. Even where it is not required, a receipt protects both sides, and tenants often need one to prove their rent history.

Can tenants use a rent receipt as proof of rent paid?

Yes. Tenants use rent receipts for rental applications, tax credits and benefit claims, and as proof if a payment is disputed.

Can I make one receipt for several months?

Yes. Set the period to cover all the months and add a line for each month's rent, so the receipt shows exactly what was paid.

Is this template really free?
