How to write a landscaping estimate

  1. 1

    Measure and sketch the area

Record square footage for patios and beds, and linear feet for edging and walls.

  2. 2

    Split the job into phases

Excavation, base, hardscape, planting and cleanup each get their own labor line.

  3. 3

    Count materials precisely

Pavers by the square foot, gravel by the ton, mulch by the cubic yard and plants by size and count.

  4. 4

    Note site conditions

Access for equipment, slopes, drainage and utility locates all affect the price. Put them in the notes.

  5. 5

    Add your plant guarantee

Say how long plants are guaranteed and under what conditions.

What to include on a landscaping estimate

  • Area measurements and a short scope for each phase
  • Labor by phase with hours and rate
  • Hardscape materials, base and sand with quantities
  • Plants by species, pot size and count
  • Equipment, delivery and disposal fees
  • Plant guarantee, deposit and validity date

Pricing tips for landscapers

Add delivery and disposal

Material delivery and hauling away soil or old sod add up. Give them their own line rather than burying them.

Allow for waste and cuts

Order 5 to 10 percent extra pavers for cuts and breakage, and price the extra into the estimate.

Offer maintenance after install

Add an optional monthly maintenance price. It turns a one-off job into recurring work.

Questions landscapers ask

How do I calculate mulch for a landscaping estimate?

Multiply the bed area in square feet by the depth in feet, then divide by 27 to get cubic yards. Three inches deep over 300 square feet is about 2.8 cubic yards.

Should I separate hardscape and softscape?

Yes. Listing patio work separately from planting lets the customer approve one phase now and the other later.

Can I use this template for lawn maintenance too?

For recurring mowing and yard care, use our lawn care invoice template. It shows the property, visit date and service frequency.

Is this template really free?

Yes. Fill it in online and download PDF, Word or Excel as often as you like. There is no sign-up, no watermark and nothing to install. Your details stay in your own browser.
