How to write a personal trainer invoice

  1. 1

    Name the package or period

Monthly package, session block or single session. Put it at the top.

  2. 2

    List sessions as a quantity

Use the number of sessions as the quantity at your session rate, with the dates in the detail line.

  3. 3

    Add programs and extras

Program design, nutrition coaching and assessments each get their own line.

  4. 4

    State your cancellation policy

A short note about late cancellations prevents arguments later.

  5. 5

    Make paying easy

Add card, Zelle or Venmo, and bill packages before the month starts.

Pricing tips for personal trainers

Sell packages

Packages of 8 or 12 sessions paid upfront improve attendance and cash flow. Offer a small discount against single sessions.

Bill in advance

Invoice packages before the period starts, so sessions are paid before they are used.

Charge for no-shows

A clear late cancellation fee protects your schedule. Put it on every invoice.

Questions personal trainers ask

Should I bill per session or monthly?

Monthly packages billed in advance are easiest to manage. Per-session invoices work for drop-in clients.

Do personal trainers charge sales tax?

It depends on where you work. Some states and cities tax fitness services and some don't. Set the tax rate if you need to charge it, or leave it at zero.

Can I show which dates the sessions were on?

Yes. Put the dates in the detail line under each item, or use our hourly timesheet template to list every session separately.

Is this template really free?

Yes. Fill it in online and download PDF, Word or Excel as often as you like. There is no sign-up, no watermark and nothing to install. Your details stay in your own browser.
