How to write a photography invoice

  1. 1

    Name the shoot

Put the session type, date and location at the top so the client can match it to the booking.

  2. 2

    Bill the session fee

Your time shooting, including travel within your area, goes on the first line.

  3. 3

    List deliverables

Editing, number of images, gallery, prints and albums each get their own line with what is included.

  4. 4

    State the usage rights

Say whether the license is personal or commercial, and any limits on use.

  5. 5

    Deduct the retainer

Show the retainer already paid so the client sees the balance due.

What to include on a photography invoice

  • Your business name, website and contact details
  • Client name, session type, date and location
  • Session fee and any travel
  • Editing, number of images and delivery method
  • Prints, albums and other products
  • Usage license, retainer paid and balance due

Pricing tips for photographers

Take a retainer

A non-refundable retainer holds the date and protects you from cancellations. Deduct it on the final invoice.

Separate creative fee and products

Charging the session and products separately makes it easy for clients to add prints and albums.

Price commercial use higher

Brand and product shoots used in ads are worth more than personal portraits. Price the license accordingly.

Questions photographers ask

Should I include usage rights on the invoice?

Yes. A short line saying the client has a personal or commercial license, and any limits, avoids confusion about how the photos can be used.

How do I show a retainer I've already been paid?

Enter it as the deposit. The invoice shows it deducted from the total and the balance due.

Can I use this for weddings and events?

Yes. Add coverage hours, second shooter, album and travel as separate lines.

Is this template really free?

Yes. Fill it in online and download PDF, Word or Excel as often as you like. There is no sign-up, no watermark and nothing to install. Your details stay in your own browser.
