What should a cash receipt include?

A cash receipt is a written record, given by the person or business that received the money, showing that a customer paid a stated amount in cash on a given date and what it was for. A cash receipt should include your business name and contact details; a receipt number and the payment date; the customer's name; what the payment was for, line by line; the total received, in figures and in words; paid by cash, and who received it; and paid in full, or the balance remaining. Cash is easy to lose track of. A numbered receipt for each payment keeps your books and your tax return straight. Number every receipt in sequence and never leave the amount or date blank, so the record cannot be changed later. Give it as soon as the money arrives, and keep a copy with your records for taxes and any questions later.

Also called: cash payment receipt, receipt for cash payment, cash receipt form, money receipt. It is the same document, and this template works for all of them.

How to write a cash receipt

  1. 1

    Number and date it

Give every receipt its own number in sequence and write the date you were paid.

  2. 2

    Say who paid

Write the customer's name, and their address if they need the receipt for their records or taxes.

  3. 3

    Describe what it was for

List the work or items the money covers, with a price for each line.

  4. 4

State the amount, in figures and in words

The total received, marked paid by cash, with the amount written out in words like a check so it cannot be altered. Add who took the money in Received by.

  5. 5

    Keep a copy

Give the customer the receipt and keep your own copy. Cash leaves no bank record, so the receipt is your proof.

Printable cash receipt: PDF, Word or Excel

  • PDF: best for emailing or printing. It looks the same on every phone and computer, and the customer cannot change it.
  • Word (.docx): edit the wording later in Microsoft Word or Google Docs, or keep it as your own reusable cash receipt form.
  • Excel (.xlsx): line amounts, tax and the total are live formulas, so changing a quantity updates the receipt for you.

Fill it in online once and download any of the three.

Tips for taking cash payments

Write a receipt for every cash payment

Cash is easy to lose track of. A numbered receipt for each payment keeps your books and your tax return straight.

Count the money in front of the customer

Agree the amount before you write the receipt, so the figure on paper matches what changed hands.

Never leave the amount blank

A receipt with a blank total can be filled in later. Write the amount, and the date, every time.

Questions small businesses ask

What should a cash receipt say?

Who received the money, who paid it, the date, what it was for, the amount, and that it was paid in cash. A receipt number makes it easy to find later.

Is a handwritten cash receipt valid?

Yes, as long as it has the details above. A printed receipt is easier to read and to keep, and you can download this one as a PDF to print or email.

Do I need to give a receipt for cash payments?

It is good practice, and many customers will ask for one. For some payments, such as rent paid in cash in some states, a receipt is required by law.

Can I write a cash receipt for a partial payment?

Yes. List what the payment covers and enter the balance remaining. The receipt then says Part payment and shows what is left to pay.

Is this template really free?

Yes. Fill it in online and download PDF, Word or Excel as often as you like. There is no sign-up, no watermark and nothing to install. Your details stay in your own browser.
